How painstoparc.org handles the information you give us through this website, and what you can ask us to do with it.
Who this policy is from
This website is published by painstoparc.org. This policy covers the information collected through the website itself. Information you give us in person at a clinic is covered by the clinic's own records practice, which follows the same principles set out below.
What we collect
We only ask for what we need in order to reply to you or to see you.
- When you request an appointment or send an enquiry: your name, age, gender, phone number, email address, postal address, the clinic and department you selected, your preferred date and time, and anything you choose to write in the notes field.
- If you are a gym member: the membership record our staff create for you — your contact details, the plan you are on, any condition you tell us about so we can train you safely, and your payment history.
- Automatically, as with any website: our web server records the address of the device making each request, along with the page requested and the time. These logs exist to keep the site running and secure.
We do not ask for and do not want payment card details through this website.
Why we hold it
- To contact you about the appointment you asked for, and to confirm, move or cancel it.
- To keep an accurate clinical and membership record, which is what allows us to treat you safely over time.
- To answer questions you send us.
- To meet record-keeping obligations that apply to a medical practice.
Who can see it
Your information is seen by the doctor and by the clinic staff who need it to do their job — reception, and, for gym records, the gym staff. Every member of staff signs in with their own account, and each account only reaches the screens their role allows.
We do not sell your information, we do not rent it, and we do not pass it to anyone for marketing. We would share it outside the clinic only where the law requires it, or where you have asked us to — a referral to another practitioner, for instance.
Where it is held
The website and its database are hosted on servers operated by our hosting provider. Your information stays within that system; we do not transfer it abroad for processing.
How long we keep it
Clinical and membership records are kept for as long as a medical practice is required to keep them. Enquiries that do not become appointments are removed once they have been dealt with and there is no longer any reason to hold them.
Keeping it safe
Access to the administration system requires a password and is limited by role. We review who has an account and what it reaches. No system is perfect, and we make no claim that ours is; what we can say is that we take it seriously and act promptly if something goes wrong.
What you can ask us to do
- Ask what we hold about you, and be given a copy.
- Have anything inaccurate corrected — please do tell us, an out-of-date phone number helps nobody.
- Ask us to delete information we no longer have a reason to keep. Where a record must be retained for medical or legal reasons we will say so, and say why.
- Withdraw your consent to being contacted about anything other than care you have asked for.

Children
Where a patient is a minor, an appointment should be requested by a parent or guardian, and the information given is treated as theirs to manage on the child's behalf.

If this policy changes we will publish the new version here and update the date shown at the top of the page. Material changes will be flagged on the site.
